Privacy policy
What we collect when you contact the desk, why we collect it, and the few places it ever goes — written in plain English.
Last updated: 12 August 2026
Running a concierge desk means handling your details — names, dates, preferences, occasionally a surprise you don't want leaked. We treat that information the way we'd want ours treated: collected minimally, stored properly, never sold.
What we collect
When you use our forms, email or phone line we collect what the job needs:
- Contact details — name, email, phone number.
- Trip details — dates, party size, preferences, budget range, occasion notes.
- Booking data — confirmations, room requests and itinerary details related to your stay.
- Site data — basic analytics (pages viewed, device type) collected via cookies. See our cookie policy.
We don't collect payment card details — bookings are paid directly to the hotel or venue.
How we use it
Your information is used to do the thing you asked us to do:
- Prepare quotes, itineraries and booking requests.
- Pass reservation details to hotels, restaurants and transport providers only as needed to fulfil your booking.
- Reply to your enquiries and manage changes to your plans.
- Meet legal and accounting obligations (invoices, records).
We do not send marketing emails you didn't sign up for, and we never sell or rent your data. Full stop.
Sharing with venues
To make a booking we share the minimum necessary with the venue — typically your name, dates and preferences. Crown Perth venues, drivers and restaurants are independent businesses with their own privacy obligations; we choose partners who take this seriously.
For the full legal framework including GDPR rights, see our legal information page.
Storage & security
Booking data lives in encrypted email and booking systems with access limited to the team member handling your stay. We keep records for as long as Australian tax and consumer law requires, then delete them. If a breach ever affected your data, we'd tell you directly and quickly — that's a promise, not just a legal line.
Your rights
You can ask us at any time to:
- Show you what personal data we hold about you.
- Correct anything that's wrong.
- Delete your data where we're not legally required to keep it.
- Stop using your details for a specific purpose.
Email valeriabeach@gmail.com with 'Privacy request' in the subject — we respond within 30 days, usually much faster.
Changes to this policy
If this policy changes materially we'll update the date at the top and note the change on this page. For anything booked under a previous version, the version in force at booking applies unless the new one is better for you.
